1. Who We Are and What This Covers

Archive Ledger, Inc. ("Archive," "we," "us") — a Delaware corporation with its mailing address at 910 W Pierce St, Ste 2035, Carlsbad, New Mexico 88220 — operates archiveledger.com and the Archive platform. This Privacy Policy explains what information we collect, why, who we share it with, and what choices you have. Archive is a business-to-business service. We do not offer it to consumers for personal, family, or household purposes, and we do not direct it to children. Questions: support@archiveledger.com.

2. Information We Collect

Account information. When you are invited to or create an account: your name, business email address, your organization, and your role. Your password is set and stored by our authentication provider; Archive never sees it in plain text. Order and billing information. What you ordered (report type, county, and the legal description or tract you specified), when, and at what price; invoices and payment status; and the customer and transaction identifiers assigned by our payment processor. We do NOT receive or store your full payment-card number — card details are entered on our payment processor's hosted checkout page and never reach Archive's servers. Content you submit. The legal descriptions, county selections, tract boundaries, and any boundary files (for example KMZ or GeoJSON) you upload in order to request a report, together with the reports and other deliverables we generate for you. Usage and technical information. Aggregate performance metrics from our hosting provider's analytics, and standard server logs (such as request paths, timestamps, and error traces) generated when you use the Service. Communications. Emails you send us, our transactional emails to you (invitations, report-ready notifications, receipts, password resets), and feedback you choose to submit through the application, together with the page and account context needed to act on it. Voice assistant. The application includes an optional voice assistant. It is off unless you turn it on, and it stops listening when you turn it off or when it pauses after inactivity. While it is active, your microphone audio is processed in real time so the assistant can respond; Archive does not store the audio itself. A text record of the exchange is retained with your account so a recent conversation can be resumed, along with session metadata such as when and how long the assistant was used. Public-records content. Information about individuals contained in the public county records we compile — see Section 6, which explains this in full.

3. Where That Information Comes From

Directly from you, when you create an account, place an order, upload a file, or contact us. Automatically, when you use the Service (server logs and aggregate performance metrics). From our payment processor, which tells us the status of a payment and gives us transaction identifiers. From public records maintained by county clerks, district courts, and state agencies, which Archive obtains and compiles as the substance of its research product.

4. How We Use Information — and What We Will Not Do With It

We use the information above to: provide, operate, and secure the Service; authenticate you and enforce roles and seats; produce and deliver the reports you order; bill you and collect payment; respond to your requests; send transactional communications; detect and prevent fraud, abuse, and security incidents; comply with law; and improve the Service, using aggregated and de-identified data. What we will not do. We do not sell your personal information, and we do not share it for cross-context behavioral advertising. There is no advertising technology on our site. And a commitment specific to what we do: what you research is confidential. The tracts, legal descriptions, counties, and parties you search can reveal where you intend to lease, buy, or drill. Archive does not disclose that information to other customers or to third parties, does not sell it, and does not commercialize it. It is treated as your confidential information under our Terms of Service.

5. How We Share Information

We share information only with service providers who process it on our behalf, under contract, for the purposes described in this policy: Supabase (authentication and database hosting); Stripe (payment processing — hosted checkout, so card data goes to Stripe rather than to us); Cloudflare R2 (storage of documents and generated deliverables); Resend (transactional email delivery); Vercel (application hosting and aggregate performance analytics); Mapbox and the U.S. Census Bureau geocoding service (only when you ask us to look up a place or address, and only the address text you entered); the USDA National Agriculture Imagery Program (aerial imagery for the tract you are viewing); third-party cloud data-processing providers engaged in producing the Service, which process the text of public-record documents on our behalf under contract; third-party speech-processing providers, which process voice-assistant audio while you have the assistant active, and which convert the text of narrated report summaries to audio, in each case on our behalf under contract; and messaging services used to alert Archive's own staff to service events (for example, that a feedback submission or order needs attention). We may also disclose information if required by law or valid legal process, to enforce our agreements, to protect the rights, safety, or property of Archive, our customers, or the public, or in connection with a merger, acquisition, or sale of assets (in which case we will require the recipient to honor this policy or notify you). Customer account, order, and payment information is processed in the United States. Some processing of public-record document text by our data-processing providers, and delivery of internal staff notifications, may occur on infrastructure outside the United States.

6. Public Records and the People Named in Them

This section describes something specific to what Archive does, and we want to be plain about it. Archive's reports are compiled from public records — deeds, mortgages, oil and gas leases, mineral deeds, probate and court filings, and similar instruments recorded with county clerks and courts. Those records are public by law, and they name individuals: grantors, grantees, lessors, lessees, heirs, trustees, and others. Our reports therefore contain information about individuals, drawn from those filings. We are not the source of that information. We compile, read, and analyze records that governments have made public; we do not create them and we cannot change them. If you believe a public record contains an error about you, the correction must be made at the source — with the county clerk or the court where the instrument is recorded. A change to the underlying record is what corrects the record; we cannot alter what a county filing says. If you believe an Archive report has misread or misrepresented a public record, tell us at support@archiveledger.com and we will investigate and, where we are wrong, correct it. We do not use public-records content to build marketing profiles, we do not sell it as a standalone data product, and we do not attempt to enrich it with information about individuals from other sources.

7. Retention

Account information is retained while your account is active and for a reasonable period afterward for legal, tax, and audit purposes. Order, invoice, and payment records are retained as long as required by tax and accounting law. Reports and deliverables are retained so that you can access them in your account. For thirty (30) days after termination you may request an export (see our Terms of Service); after that period we may delete them in the ordinary course. Public-records content and the compilations we derive from it are retained indefinitely. This is deliberate and is the nature of the product: a chain of title is a historical record, and a title archive that forgets is not an archive. The underlying records are themselves permanent public records. Server logs are retained for a limited period by our hosting provider for security and debugging.

8. Cookies and Tracking

Cookies we set. Our authentication provider sets strictly-necessary session cookies (names beginning with "sb-") so that you stay signed in. They are first-party, they last for the duration of your session and its refresh cycle, and the Service cannot function without them. Not cookies. Your theme preference (light or dark), your workspace layout preferences, and your assistant sound preference are stored in your browser's local storage. They stay on your device and are never sent to us. Analytics. We use our hosting provider's performance analytics to measure page-load performance in aggregate. We do not use advertising cookies, third-party trackers, session recording, or fingerprinting. Why there is no cookie banner. Because the only cookies we set are strictly necessary for authentication, and because we run no advertising or cross-site tracking, we disclose our cookie use here rather than blocking the site behind a consent dialog. If that ever changes — if we add advertising technology or any cross-context tracking — we will change this analysis and this policy first. Global Privacy Control. We honor GPC signals. Because we do not sell personal information or share it for cross-context behavioral advertising, there is nothing for a GPC signal to opt you out of; the signal is nonetheless respected.

9. Your Rights and How to Exercise Them

Depending on where you live, you may have the right to: know what personal information we hold about you and obtain a copy; correct inaccurate personal information; delete your personal information; obtain your information in a portable format; opt out of the sale or sharing of personal information (we do neither); and not be discriminated against for exercising any of these rights. How to exercise them. Email support@archiveledger.com from the email address associated with your account, and tell us what you would like. If we cannot verify that a request comes from you, we may ask for additional information to confirm your identity before acting — a protection for you, not an obstacle. Timing. We will acknowledge your request promptly and respond within the period required by applicable law (generally 45 days, extendable once where the law permits, with notice to you). Appeals. If we decline your request, you may appeal by replying to our decision and asking us to reconsider. A different reviewer will re-examine the request, and we will tell you the outcome and the reasons for it. Authorized agents. You may use an authorized agent to make a request on your behalf; we may ask for proof of that authorization. Note on public-records content: rights to delete or correct do not extend to the content of public records themselves, which we compile but do not control. See Section 6.

10. Security

We protect information with measures appropriate to a service of our kind: encryption of data in transit; access controls and role-based permissions; row-level security on our database, with the underlying records reachable only by server-side service credentials and never by a browser; short-lived, per-object signed links for document downloads; signature verification on payment webhooks; and reputable infrastructure providers who maintain their own security programs. We describe only what we actually do. Archive does not currently hold a SOC 2 or ISO 27001 attestation, and we will not imply otherwise; obtaining one is on our roadmap and we will say so here when it is done. 11. Children

Archive is a business service and is not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, contact support@archiveledger.com and we will delete it.

12. International Users

Archive is a United States service. Our infrastructure and our customers are in the United States, and customer account, order, and payment information is processed there. We do not currently market the Service in the European Union or the United Kingdom or offer it to individuals located there. If that changes, we will update this policy before it does.

13. Changes and How to Reach Us

We may update this policy. When we make material changes, we will post the updated policy with a new effective date and, where the change materially affects how we handle your information, notify account holders by email.
